What are data security & storage? Data security & storage are the act of securing data in one's office or facility against theft. Both secure data in an electronic form or back up, or store in a secured file cabinet out of a locked cabinet in a secured room. If data are being moved from a computer system, destroy all electronic paper records (e.g, by shredding), to keep hard copy copies for employee review (if applicable). Security experts from the Net Depot  argue that proper data security & storage are necessary because without it information can easily be misused. In other words, if data security & storage are not applied, then people can misuse personal information stored in electronic media and/or on company computers and servers. They can get personal and business identity details from the systems, which can open them up to identity theft. The result can be a person with a false identity can start up businesses. Or they can start using your company's assets like credit cards and paychecks. This could be devastating if it happens in the workplace.


So, how do you apply data security & storage? First, you must develop a data security & storage policy. You should be able to explain how it applies to your company and what it does to protect your company's data. A policy could include what employees can access from their work station. Policies could also restrict who can have access to company data or who can have unsupervised access to it. It could even include what types of data can be stored remotely and who needs advance permission before accessing it.


Next, you should train all your employees about data security & storage. Give them training regarding the importance of keeping data confidential and what can happen if they lose it. Train them not to give personally identifying information like a password to another person. Train them not to copy or use data from their work station. You should implement physical copies of all company data, so that if someone does access data on their work station they will have physical evidence. You should also provide storage devices that are restricted in size and cannot be modified. You should not store backup data on your own PCs. Make sure that you get an external hard drive or other storage device that is guaranteed to survive the calamity of losing your data.
Finally, you should have a disaster plan for data security & storage. You should never assume that you will always be able to recover your data. In the event that something happens you should be prepared to rebuild your entire system.
